COVID Protocol

IF AT ANY POINT ANYONE FEELS UNWELL THEY SHOULD IMMEDIATELY CONTACT THEIR LINE MANAGER OR HOD

 

THESE PROTOCOLS & PROCEDURES WILL REMAIN A WORK IN PROGRESS AND WILL BE UPDATED WHEN REQUIRED

SUPPLIERS WITH WORKSHOPS, WAREHOUSES, TRUCKING & DELIVERIES

  • All suppliers will need to submit additional Covid-19 specific protocol documents along with their Risk Assessment, Method Statement and Insurance which will be assessed by Fulwell’s Health & Safety Advisor

  • Supplier Covid-19 protocol will cover:

    • Disclosure of Circumstances

    • Monitoring of Health and Wellbeing

    • Travel to Work

    • PPE

    • Social Distancing

    • Cleaning of equipment.

  • Suppliers will be using their own trucks. If they need to cross hire, they will ensure that the third-party company is also adhering to strict protocol guidelines

  • Trucks must be loaded in a way that requires minimal crew

  • Delivery drivers not directly involved with the unloading / loading of equipment will be required to remain in their truck whilst equipment is being unloaded/loaded.

  • As and when suppliers update their protocol documents, Fulwell’s Health & Safety Advisor will again need to review them

STUDIO CLEANING

  • Prior to tenancy the Studio will have undergone a full ‘deep clean’.  This will include all surfaces including high contact areas such as handles, buttons etc

  • A full cleaning schedule has been arranged between the Studio Cleaning Contractor, Studio Manager and Fulwell 73.  This will be published once confirmed. 

  • A full clean will take place at the end of every working day including the evening before a day of filming

  • In addition, a cleaner will be provided for 8 hours each day to be onsite regularly wiping over surfaces, higher contact areas such as handles, buttons, toilets and the café area

  • The onsite cleaner will also be available to carry out specific area cleaning at the request of the Fulwell 73 team

  • A cleaning log of all key areas such as the café and toilets will be carried out and be available for inspection

  • In the event of any member of staff being sent home due to illness the onsite cleaner will be asked to specifically concentrate on cleaning their direct area of work.  Fulwell 73 will facilitate the clearing of staff and work activities to enable the clean to take place as quickly as possible

STUDIO TOILETS

  • Only designated toilets in the Atrium and Gallery will be in use.  Some cubicles within blocks of toilets will be locked to help adhere to social distancing.

  • Larger toilets will have an Attendant who will manage the capacity and clean cubicles, taps and handles after use.

  • Smaller toilets must be used on a 1 in 1 out basis.  Users must use antibacterial wipes to clean areas before and after use.  These will be made available in the toilets and once used should be disposed in the closed lid bins available.

  • When using the toilets remember keep to the social distancing rules of 2m. 

  • Always wash your hands before and after use. 

RIG AND DERIG

  • Rig and Derig days will adhere to the same guidelines for entering and working in the studio, as noted below

  • Rig and Derig schedules have been extended to allow for individual days per department so fewer people and departments are sharing spaces

  • Floor markings to help with 2m social distancing must be adhered to

  • Everyone must wash their hands in hot water and soap / sanitizer regularly, particularly at the following times:

    • On arrival at venue / site

    • Prior to any AM break

    • Prior to Lunch break

    • Prior to PM break

    • At the end of their shift

    • Following any time that they have had to use any shared equipment

  • Contractors / Crew / Staff who are providing their own PPE must ensure it is cleaned before and after use

  • Anyone using disposable PPE must ensure it is disposed of in the correct bins and wash their hands thoroughly after removing gloves, masks etc

PRE ARRIVAL AT STUDIO

  • All crew will remain the same across the series and be booked for every show

  • For the specific roles listed below, the crew member will be asked to speak with production to implement a plan for their replacement / cover should they become ill. The replacement would need to be another crew member that they have not been in contact with:

    • Director

    • Vision Mixer

    • Script Supervisor

    • Autocue

    • EVS Operator

    • GFX Operator

    • Lighting Director

    • Sound Supervisor

    • Floor Manager

  • Once crew are confirmed, they will be required to provide to production their Risk Disclosure Form detailing their recent travel history, household welfare and general wellbeing. This Risk Disclosure Form will be submitted to Fulwell’s Health & Safety Advisor for review. Should the Risk Disclosure Form highlight any concerns, production will be in touch directly.

  • Everyone must closely monitor their general health and wellbeing, with specific emphasis on the symptoms of Covid-19. Should you start to feel unwell or any circumstances on the Risk Disclosure Form change across the series, production must be informed immediately, and a new Risk Disclosure Form must be submitted for review.

  • At this time the NHS COVID-19 Symptom Tracker app is not available outside of the Isle of Wight.  However, if it becomes available across the rest of England, we ask all crew to use the NHS Covid-19 Symptom Tracker app. We will not be asking crew to share this data but to use it as a useful tool to monitor your welfare.

  • All crew will be required to sign a Covid-19 Declaration Form to state that they have read the protocol guidelines and will comply with them in full

NHS TEST & TRACE SERVICE

  • The new NHS test and trace service is now active and as soon as you experience coronavirus symptoms, medical advice is clear: you must self-isolate for at least 7 days. Anyone else in your household must self-isolate for 14 days from when you started having symptoms

  • Order a test immediately at www.nhs.uk/coronavirus or call 119 if you have no internet access.  Current guidance says that results should take approx. 48hrs.

  • Immediately contact Lou Fox at Fulwell 73 to make her aware that you have ordered a test and are now part of the NHS test & trace service.  You will be asked to give Lou an idea of which departments you have been working more closely with over the time you have been onsite.  Lou’s phone number is: 07595471621. 

  • At this point Fulwell 73 will organise an additional private test for you at their cost; so results can be received potentially faster allowing them to make further arrangements for the rest of the show crew if necessary.

  • The NHS will advise you to alert the people you know that you have had close contact with over the last 48hrs.  You should tell them you might have coronavirus but are waiting for a test result. 

  • Lou Fox from Fulwell 73 will make any staff / crew that you may have come into contact with onsite, but not necessarily know, aware that a member of the crew has symptoms and is being tested.  No personal details will be shared at any point.

  • The guidance currently advises that at this stage, until a result is confirmed, those people do not need to self-isolate, but they should take extra care in practising social distancing and good hygiene such as regular hand washing with hot water and soap.

  • Everyone is asked to monitor their own health for symptoms.  Fulwell 73 may decide additional temperature testing is undertaken for those who remain onsite.

TEMPERATURE TESTING

  • Everyone must start monitoring their temperature at least 3 days before coming to the studio.

  • In the event that a crew member’s temperature reaches 37.8c they must call their Fulwell 73 contact to gain further advice.

  • All crew must take their temperature each day before travelling to site to ensure it remains under 37.8c

  • On arrival to site our onsite Medic will carry out a temperature check on you using a medical grade thermometer provided by the Medical provider.  The medic will be required to stand less than the required 2m distance from you so you will be required to put on your face covering before the check is taken.  This will be found in your PPE bag.

  • Anyone with a temperature above 37.8c will be asked to leave the Studio.

IF YOU RECEIVE A POSITIVE TEST

  • If you test positive for coronavirus, the NHS test and trace service will send you a text or email alert or call you with instructions of how to share details of people with whom you have had close, recent contact and places you have visited. It is important that you respond as soon as possible so that they can give appropriate advice to those who need it. You will be told to do this online via a secure website or you will be called by one of our contract tracers.  See further guidance at https://www.gov.uk/guidance/nhs-test-and-trace-how-it-works

  • As you may not be aware of exactly who you have been with onsite we advise you to give Lou Fox’s contact details to the NHS test & trace team when they contact you explaining that whilst at work Fulwell 73 are in control of all contractors you will have worked alongside and will have all their details and know who you may have come into contact with.

IF YOU RECEIVE A NEGATIVE TEST

  • Alert Lou Fox at Fulwell 73 to confirm your test is negative. 

  • Other members of your household can stop self-isolating. If you feel well and no longer have symptoms similar to coronavirus, you can stop self-isolating. You could still have another virus, such as a cold or flu – in which case it is still best to avoid contact with other people until you are better.

  • In regard to the private test Fulwell 73 organise for you please ensure you contact Lou Fox as soon as you receive the results so information can be shared with the team.

  • Before returning to work you will have to confirm with Lou Fox you have been without a temperature for 48hours and that those living within your household have also either tested negative and/or have not experienced any symptoms.

TRAVEL TO AND FROM THE STUDIO

  • No crew member should use any form of public transport to get to the studio

  • We ask all crew to drive individually to the studio

  • Parking will be provided at Fulham Reach Carpark on Crisp Road

  • Parking costs at Fulham Reach Carpark will be covered by production to the cost of £23.00 per day [£2.30 / Hour x 10]

  • This will be paid via invoices or expenses to avoid any cash changing hands

  • Should you choose to cycle, please ensure you do so safely and adhere to distancing rules and the highway code

  • If you do not have a vehicle to get yourself to the studio, please contact production and we will look into an alternative method of travel through a reputable supplier with a robust Covid-19 policy in place. Please discuss details with your HOD and production

ARRIVAL AT STUDIO

  • Crew call times will be staggered to allow for a less congested arrival for all.

  • Crew entrance will be via the main entrance [at the café / river side].

  • Outside the building, there will be floor markings 2 meters apart to allow for social distancing when arriving and collecting accreditation, as you will have seen at supermarkets.

  • Outside the building you will be given a PPE bag as you arrive.  These are minimal requirements, should you choose to wear more enhanced PPE please do so and please respect everyone’s individual choices on this matter.  The bag includes:

    • Disposable face mask

    • Disposable gloves (Optional)

    • Hand sanitiser sachets

    • Pack of antibacterial wipes

    • Disposable Thermometer

  • The Thermometer should be used immediately as detailed above and you should apply your facemask before entering the Accreditation area.

  • People will be reminded to wash hands regularly especially after handling their masks and/or gloves and to not touch their face when wearing their ppe.

  • Crew have been required to complete their safety induction online.  For anyone who has not done this they will be given a QR code which will enable them to complete the induction on their phone.

  • There will be 2 accreditation stations and 1 x crew member will be admitted into each station at a time

  • 1 x production member will be manning each accreditation station at a time. This person will be wearing a disposable face mask, disposable gloves and disposable boiler suit

  • Everyone should provide their own small bottle of hand sanitizer and bring this with them every day.

  • You will also need to collect any paperwork you will require.  Do not share your paperwork with anyone else:

    • Script

    • Running Order

    • Schedule

  • Production will also check that your Risk Declaration Form has been completed.

  • Once all of this is done you will collect an accreditation wristband to wear and be given access to the studio

  • Those who have designated to hand out items such as props / cue cards / documents to individuals must wear gloves.

WORKING WITHIN THE STUDIO

  • FOLLOW THE DIRECTIONS OF THE ONE-WAY SYSTEMS IN PLACE AT ALL TIMES.  REMEMBER SOCIAL DISTANCING AT ALL TIMES.

  • Use your antibacterial wipes to sanitise your workspace, please do so.  If you need further assistance, please let the Fulwell 73 team know.

  • The staggered morning call times and accreditation process should ensure that crew are also staggered when going to their work areas

  • Capacity for the studio floor will be calculated on a minimum of 2m square per person

  • For crew that must be stationed on the studio floor throughout the record, there will be a designated 2m square area for you

  • For crew that do not need to be stationed on the studio floor throughout the record, there will be a designated 2m square area for you in the atrium with access to a monitor with the show feed. This area will have clearly marked walking channels within it

  • Should you need to access the studio and you do not have a designated 2m square, there will be a small allowance for reserved “floating” within the floor capacity for crew to access. Crew in the studio will need to be extra vigilant in social distancing when an additional crew member has entered and is moving through the studio

  • A one-way system will be operated within the studio using the fire lane

  • To comply with social distancing there is a set capacity for personnel within the studio at any one time.  A working system for entry / exit to the studio has been established and should be adhered to by everyone onsite.  Please do not be offended if a member of the Fulwell73 Production Team requires you to leave the studio until the capacity has been reduced.

  • Anyone one who is required to carry out essential tasks under the 2m social distancing rules during the construction phases must have identified these within their own risk assessment and make the Fulwell73 Production Team aware.  They must work side by side or where face to face contact is essential, this MUST be kept to 15 minutes or less.

  • It is not expected that any tasks during rehearsal and filming will require staff or contractors to work under the 2m social distancing rules.  During this time only those essential tasks which may occur as a result of a set fail or unforeseen technical adjustment may take place in a distance under the 2m social distancing rules after discussion & review with the Fulwell73 Production Team and only in advance of the work taking place.

  • Gallery positions will be spaced out to allow for social distancing and additional areas will be used for the following departments:

    • EVS

    • GFX

    • Remote Camera Operators

    • Lighting

    • Lighting (Studio B)

  • The Scenic Dock will be used by remote camera operators and the Art Department.

  • In certain areas, Perspex screens will be in place between working areas

  • All Production and Editorial teams will be streamlined

  • Production and Editorial will have designated positions within the Production Office with all desks and seating adhering to 2m spacing and social distancing guidelines

  • We ask that all crew bring minimal bags and coats with them and ensure that they are kept with you at your work area. There will be no communal area to keep your belongings

  • If crew are bringing their own tools to the studio, they need to ensure that they have been fully cleaned before coming to the studio. Crew should not share tools with each other

  • As usual, a medic will be onsite. The medic will be wearing a disposable boiler suit should they need to have direct contact with anyone in the event of an emergency

  • Regular announcements will be made to remind everyone to adhere to social distancing and regularly wash their hands

  • Please do not take offence should anyone remind you of any protocols

  • If you feel unwell at any point during the working day onsite, please report to the Medic onsite who can undertake any necessary medical checks including temperature monitoring

MOVEMENT WITHIN THE STUDIO

  • Doors will be left open to minimise contact with surfaces

  • Use the one-way walking system.

  • While moving around areas at the studio please maintain a 2m distance between any other people. In corridors that may be narrower than 2m, please check before leaving any rooms that your route ahead is clear

  • Relevant signage will be clearly displayed

SFX WITHIN THE STUDIO

  • The use of vapours, steam and hazers (including but not limited to dry ice, oil, mists or glycol) are to be avoided as they are likely to keep airborne infections in the atmosphere longer.

  • Any equipment that disrupts the airflow movement should not be used.  Fans cannot be used.

FOOD AND BREAKS THROUGHOUT THE DAY

  • Studio days will be scheduled to 10 hours with 1 x break for lunch

  • No food will be provided at the studio

  • We ask crew to bring a packed lunch with them. Please note that there will not be any fridges provided so please bring non-perishables. You will also need to bring your own utensils and napkins etc.

  • If you are unable to bring a lunch with you and you need to go out to Hammersmith to purchase food, please remove your PPE before you go outside but keep it with you otherwise it will need to be replaced on re-entry.  Remember to wash your hands / use the sanitiser provided at the entrance before putting your mask back on.

  • Production will provide a food allowance per day of £7.00 to cover lunch

  • This will be paid via invoices or expenses to avoid any cash changing hands

  • No crew craft services will be provided

  • All crew will need to bring their own water bottle and hot drink container with them to the studio

  • We will have a contactless water station

  • We will have a contactless tea and coffee station

  • Staggered breaks will be included in the schedule as each crew member will need to get their own drinks

  • Before entering a bathroom, please check how many people are already in there. Gallery bathrooms are only to be used by 1 person at any one time.  An attendant will be in place in the Atrium bathroom.  Please follow their instruction as you enter as there may be restrictions on entry.

  • If you cannot enter the bathrooms please wait outside and maintain a queue at 2m apart, which will be marked on the ground

  • Correct hand washing procedures will be displayed at all sinks

  • Departments will be staggered for lunch wherever possible

  • When the lunch break is called, your HOD will tell you when you can leave your area, please do this individually and allow at least 2m between each person. In the studio, this will be overseen by the Floor Manager and in the gallery, by the Director

  • The café area at Riverside will be adapted to ensure that all crew are 2m apart if you wish to sit here to eat your lunch. Please note the café will not be serving

  • We would encourage crew to leave the studio and have their lunch outside in the fresh air wherever possible while maintaining social distancing

  • Cleaning materials will be provided in the café area to clean your seating area before you eat and after you have finished.

DEPARTURE FROM THE STUDIO

  • Departments will be wrapped individually as per the staggered call times

  • When your wrap is called, your HOD will tell you when you can leave your area, please do this individually and allow at least 2m between each person. In the studio, this will be overseen by the Floor Manager and in the gallery, by the Director

  • Please note, you are required to wait at your work area between the wrap time and your designated departure time

  • Within the studio, there will be a foot operated lidded bin for you to dispose of your PPE including your face mask as a new one will be provided the following day. Following the disposal of your PPE immediately wash your hands or use hand gel to sanitise before touching any surface or your face

  • It is suggested that all workers should have a hot shower once they return home and wash clothing

TALENT AT THE STUDIO

  • All talent will be expected to adhere to the same protocols as crew including travel

  • Talent must wear their facemasks for as long as possible up until RX.  Disposable gloves are optional, regularly handwashing is required following contact or use of hand gel which will be provided.

  • Talent will either bring their own food with them or production will order Deliveroo

  • Talent riders will not be provided but there will be a small craft services allowance in Dressing Rooms. No items from craft services will be allowed outside of the Dressing Rooms

  • All talent will have an individual Dressing Room

  • There will be no hair, make up or wardrobe teams at the studio

  • Talent will be required to mic themselves and put in their own earpieces. Production will have disposable boiler suits on standby for any members of the audio team who may need to deal with a mic issue that involves touching any talent. Individuals should work side by side. If face to face contact is essential, this should be kept to 15 minutes or less where possible and masks must be worn.

  • All talent briefings to be conducted at least 2m apart

  • There will be no shared Green Room

  • Any cue cards or scripts given to Talent will be undertaken by one person from Fulwell73 in sealed envelopes. 

  • Talent must not share any items with anyone else.  Any changes / new cards or scripts required must only be requested through the designated Fulwell73 person.  If anyone is requested to take items from Talent, they must request the Fulwell73 nominated person to come to the studio.

  • Talent will be required to make their own notes and changes on the cue cards. New cue cards will only be printed for a major script change

OTHER / GENERAL NOTES

  • All departments will be working with the minimal number of crew possible

  • No-one under the age of 18 or over the age of 70 will be permitted in the studio

  • No visitors will be allowed at the studio

  • Studio will be thoroughly cleaned after each show record (see Cleaning section)

  • During the day, additional cleaning will focus on high frequency surfaces such as door handles

  • There will be hand washing and sanitising stations in the below areas where additional disposable gloves will also be available for those that wish to wear them:

    • Outside the main studio door

    • In all bathrooms

    • At the dining area

    • In the production office

  • Paperwork will be kept to a minimum. Any major Running Order and Script changes that need to be re-printed, will be distributed using fresh disposable gloves

  • Inserts to gallery will all be delivered digitally

  • No USB sharing should take place, documents should be emailed wherever possible

  • Walkies will all be supplied by Riverside. Wherever possible walkies will be assigned to each crew member for the duration of the series. Crew will also be designated their own spare battery. Crew cannot collect walkies for each other. Walkies will be thoroughly cleaned between uses.

  • Props will be handled by 1 x designated team member and will wear fresh disposable gloves when distributing them

  • No stationery will be provided

IF FOR ANY REASON, ANY CREW MEMBER IS UNABLE TO COMPLY WITH THESE PROCEDURES OR FEELS UNCOMFORTABLE GOING BACK INTO A WORKING ENVIRONMENT, FULWELL FULLY UNDERSTANDS THAT EACH INDIVIDUAL HAS THEIR OWN PERSONAL CIRCUMSTANCES AND WE WILL RESPECT YOUR POSITION – HEALTH AND WELFARE IS OUR PRIMARY CONCERN

INCIDENT PROCEDURES IN THE EVENT OF A STAFF/CREW MEMBER FEELING UNWELL

All persons onsite involved with the filming whether during build, derig or filming are reminded in advance of coming to site and also when onsite that they must immediately report any illness if onsite or report any symptoms or illness if due to come onsite.  Everyone is requested to monitor their own health and take their temperature before leaving for work each day and on arrival to the Studio.  Anyone who has a temperature above 37.8c must not come to work / or be sent home.

 

Any person feeling generally unwell or reporting symptoms of COVID-19 will be sent home if already onsite or asked not to come to site if at home.  This person will be asked to self-isolate as per the PHE guidelines for at least 7 days. Anyone else in your household must self-isolate for 14 days from when you started having symptoms.

 

Anyone working who has symptoms of COVID-19 should use the NHS test and trace system. Order a test immediately at www.nhs.uk/coronavirus or call 119 if you have no internet access.  Current guidance says that results should take approx. 48hrs.

 

Immediately contact Lou Fox at Fulwell 73 to make her aware that you have ordered a test and are now part of the NHS test & trace service.  You will be asked to give Lou an idea of which departments you have been working more closely with over the time you have been onsite.  Lou’s phone number is: 07595471621

Once you have received your results (private test or NHS test) you must contact Lou Fox to make her aware of whether you have tested positive / negative.  In the event of a negative test result it may be that you can return to work once you have confirmed with Lou Fox that you have been without a temperature for 48hours and that those living within your household have also either tested negative and/or have not experienced any symptoms.

 

In the event of a positive test you will be asked to provide details of all those you have come into close contact with.  As you may not be aware of exactly who you have been with onsite we advise you to give Lou Fox’s contact details to the NHS test & trace team when they contact you explaining that whilst at work Fulwell 73 are in control of all contractors you will have worked alongside and will have all their details and know who you may have come into contact with.

Lou Fox alongside their Health & Safety Adviser and Riverside Studios Manager will communicate to everyone onsite, and those who have worked previously onsite on the same days, that someone within the team has left feeling unwell and been advised to register with the NHS test and trace service.  We will remind people to monitor their own health more vigilantly during this time.

 

Those who have been working specifically with the person who has been sent home / self-isolating will be contacted individually by Lou Fox and the Fulwell 73 Health & Safety Adviser and told their details will be shared with the NHS test & trace system and to await further contact.  Fulwell 73 will also advise of any further measures required dependent on the situation including a private test, additional temperature etc.

 

If the NHS identify you as someone who has had close recent contact with someone who has tested positive for coronavirus, they will notify you that you must self-isolate in line with medical advice. You may be feeling well and not have any symptoms, but it is still essential for you to follow the advice that you are given.  This is because, if you have been infected, you could be infectious to others at any point up to 14 days. Some people infected with the virus don’t show any symptoms at all and it is therefore crucial to self-isolate to avoid unknowingly spreading the virus.

 

Anyone in this situation should continue to liaise with Lou Fox to confirm whether they have received contact from NHS test and trace / been asked to take a test / received results.

 

Everyone onsite will be reminded regularly that they must continue to monitor their own symptoms of general health and wellbeing, taking their temperature daily, continue to social distance, working at least 2m apart from colleagues, continue with the washing of hands regularly and good hygiene practices. 

 

Cleaning within the Studio and in all areas in use will be done on a daily basis with deep cleans taking place between each day and prior to a filming day.  If a person has reported to be unwell the cleaning schedule maybe revised calling for more regular cleaning throughout the day.  The specific working area / equipment that would have been in contact with the individual will again be cleaned and sanitised as soon as the report has come in.  The team working in this area will be requested to stop work whilst this takes place.
